To access the configurations section, you need to navigate to:

Accounting → Settings → Chart of Accounts

This step involves preparing the admin to configure the essential settings.

1.1. Accounting 🡪 Settings → Chart of Accounts

This section offers a comprehensive overview of the Chart of Accounts module, providing users with the tools to manage their financial structure effectively. From creating and organising accounts to filtering, exporting, and performing bulk operations, this guide empowers users to streamline their accounting processes with ease and precision.

  1. Manual Addition: To add an account manually, locate and click the "Add" button.

  2. Import: Alternatively, you can import a list of charts of accounts by selecting the "Import" option.

  3. Filter Options: Users can apply filters based on account name, parent account, type, detail type, and active status.

  4. Apply Filters: Select desired filter criteria and click on the "Apply Filters" button to refine the displayed list.

  5. Export List: Users can export the list of charts of accounts by clicking on the "Export" option.

  6. Choose Format: Select the desired format for export (e.g., CSV, Excel, PDF or Print) and proceed with the export process.

  7. Transaction History: Users can view the transaction history of any existing account by selecting the account and clicking on the "View Transaction History" option.

  8. Edit Account: To update the details of an existing account, select the account from the list.

  9. Bulk Activate/Deactivate/Delete: Users can perform bulk operations such as activating, deactivating, or deleting multiple accounts simultaneously.

    1. Select Accounts: Select the accounts you wish to modify, choose the desired action (activate, deactivate, delete), and confirm the operation.

  10. Below are the fields that are available on listing:

    1. Name: The unique identifier or label assigned to each account within the Chart of Accounts.

    2. Parent Account: Indicates the hierarchical relationship between accounts, showing which accounts are subordinate to others.

    3. Type: Specifies the general category or classification of the account, such as asset, liability, equity, revenue, or expense.

    4. Detail Type: Provides further specificity within each account type, offering additional classification or differentiation.

    5. Primary Balance: Displays the current balance of the account.

    6. Bank Balance: Shows the current balance of accounts specifically designated as bank accounts, providing real-time financial information.

    7. Active (Toggle): Allows users to enable or disable accounts, controlling their visibility and usage within the system.

    8. Action (View Transaction or Update): Provides quick access to view transaction history associated with the account or to update account details as needed.
